LeadRetain Terms of Service

1. Overview
LeadRetain provides automated lead follow-up software designed to help businesses capture, respond to, and follow up with incoming leads. By purchasing or using LeadRetain or any related services, you agree to these Terms of Service.
2. Service Description
LeadRetain is an automated lead follow-up system that:
Sends instant auto-responses to new leads in your business name
Alerts you when a hot lead submits your form
Follows up automatically on Day 1, 3, 7 and 30
Sends you a daily digest of leads received
Provides a unique lead capture form link for your business
LeadRetain does not guarantee lead quality, response rates, or sales results. Results depend on your business, industry, and lead quality.
3. Client Responsibilities
Clients are responsible for:
Providing accurate information during onboarding
Supplying a valid booking/appointment link
Using the system in compliance with applicable laws and regulations
Ensuring their lead sources and communications comply with anti-spam laws (including CAN-SPAM, CASL, and PDPA where applicable)
Obtaining proper consent from leads before collecting their contact information
LeadRetain is not responsible for how clients obtain or use their leads.
4. Fees and Billing
LeadRetain subscription fees are billed monthly in advance via Stripe. Current pricing is displayed on leadretain.com.
Subscription fees are charged on the same date each month (your billing anniversary)
All fees are in USD
Payments are processed securely by Stripe
LeadRetain reserves the right to update pricing with 30 days' notice
5. Lead Cap and Usage
Each plan includes a monthly lead cap:
Starter Plan: 100 leads per month
The lead cap resets on your billing anniversary date each month. If your account reaches the monthly lead cap, new leads will not receive automated responses until the next billing cycle. You will be notified when your cap is reached.
6. Refund Policy
LeadRetain offers a 7-day money-back guarantee from the date of your first payment. If you are not satisfied, contact us at [email protected] within 7 days of your first payment to request a refund.

Refunds are processed for the subscription amount minus Stripe payment processing fees (approximately 2.9% + $0.30 per transaction). This fee is charged by Stripe and is non-recoverable.Approved refunds are returned to your original payment method within 5–10 business days.7. Cancellation
Clients may cancel their subscription at any time via their Stripe billing portal or by emailing [email protected].
Cancellation stops all future billing immediately
Service remains active until the end of the current billing cycle
No partial refunds are issued for unused days in a billing cycle
Upon cancellation, your lead capture form and automated sequences will be deactivated
8. Service Availability
LeadRetain uses third-party platforms including Make.com (automation), Brevo (email delivery), Jotform (lead capture), and Stripe (payments).
While we strive for reliable service, LeadRetain cannot guarantee uninterrupted operation due to dependencies on these third-party services. We are not liable for downtime caused by third-party platform outages.9. Email Delivery
LeadRetain sends emails on your behalf using our shared email infrastructure. While we maintain high deliverability standards, we cannot guarantee that all emails will reach their intended recipients due to spam filters, email provider policies, or recipient settings.
10. Limitation of Liability
LeadRetain is not liable for any indirect, incidental, or consequential damages resulting from the use of the service. This includes but is not limited to:
Lost revenue or missed business opportunities
Leads not responded to due to system downtime
Email delivery failures
Data loss due to third-party platform issues
LeadRetain's maximum liability in any circumstance is limited to the amount you paid in the most recent billing cycle.
11. Acceptable Use
Clients may not use LeadRetain for:
Sending spam or unsolicited mass communications
Illegal or fraudulent activities
Violating applicable email marketing or data protection laws
Harassing, threatening, or abusing leads or third parties
LeadRetain reserves the right to suspend or terminate service immediately for violations of this section without refund.
12. Privacy and Data
LeadRetain collects and processes lead data on your behalf in order to deliver the service. Please refer to our Privacy Policy for full details on how data is collected, stored, and used.
13. Modifications to Terms
LeadRetain may update these Terms of Service from time to time. We will notify active clients of material changes via email at least 14 days before they take effect. Continued use of the service after that date constitutes acceptance of the updated terms.
14. Governing Law
These Terms of Service are governed by applicable laws. Any disputes shall be resolved through good-faith negotiation before pursuing formal legal proceedings.
